Foolproof Tactics to Receiving a Club Stipend

  1. Fill out the financial statement. For help, take a look at the financial statement example.
  2. Submit the financial statement with club president’s signature on attestation report. The attestation report can be found on last tab of the financial statement or downloaded here. Don’t forget to submit the club’s June 2016 bank statement.
  3. Make sure the club’s top four board members (president, vice president, treasurer and secretary) have signed the Volunteer Code of Ethics agreement. Submit the four agreements by scanning and emailing them to Dia Combas or fax to 850.644.8847. If a club leader submitted the agreement during the 2016 Leadership Conference, there is no need to submit the agreement again.
  4. Complete an executive summary of the past year.
  5. Submit the contact information and officer slate form.
  6. Listen in on the Wednesday, June 22 conference call for any financial/reporting document questions. Phone lines will be open at 12:30 p.m. or 5 p.m. EDT. Join us by dialing 888.670.3525 and entering the participant passcode 7985678769#.
  7. Complete all of the above by Friday, July 8.

Financials and Reporting Documents

As the 2015 fiscal year comes to a close, please keep in mind that all reporting documents and financials must be submitted no later than Wednesday, July 8.

All of the information can be found on our Resources for Club Leaders web page under the “requirements” tab. Additional resources can be found on our previous blog post. If you have any questions, feel free to contact your Seminole Club staff member.

Don’t forget — treasurers and presidents are invited to the FSU Alumni Association for a Treasurers’ Training on Friday, Aug. 21. The day will include in-depth training sessions and a ticket to the 64th Annual Kickoff Luncheon. More information will be coming soon!

Requirements and Reporting

All Seminole Clubs should submit annual reporting documents online by Wednesday, July 8. When completing these forms, please make sure to be as detailed as possible. The reporting documents include:

  1. FSU AlumniExecutive Summary of the past fiscal year
  2. Contact Information and Officer Slate for the upcoming fiscal year
  3. Planning Calendar for the upcoming fiscal year

You can find more information about Seminole Club requirements and reporting on the Resources for Club Leaders’ web page, under the “requirements” tab.

For questions about submitting your club’s reporting documents, contact your Seminole Club staff member.

Additionally, Seminole Clubs must submit financial reports no later than Wednesday, July 8. Make sure you are using the most current Excel document (linked below and on our website). Even if the club does not have anything to report on a specific tab, please do not delete any of the tabs on the Excel spreadsheet. Continue reading

Seminole Club Reminders

Good afternoon club leaders!

As we approach the month of May (which means summer is coming!) it seems like a good time to address a few Seminole Club® reminders. The fiscal year will end on Tuesday, June 30 and in order for a club to receive their yearly stipend, the following annual requirements must be completed:

  • Host or participate in at least one event that is ACADEMIC in nature. (i.e., a Seminole Send-Off, a scholarship dinner, have a professor speak at a club event, table at a college fair, etc.)

Constituent Data

Here at FSU we are constantly trying to track and maintain accurate, up-to-date biographical information; such as mailing addresses, addressees and salutations, and email addresses.

Unfortunately, most of our constituents do not update their biographical information themselves and this can be very problematic for our Seminole Clubs®. For instance, FSU has no way of knowing when constituents change their email addresses. In this case, FSU would not be able to contact an individual and inform him or her of your Seminole Club’s® events. Continue reading

Miami Weekend

Hi Club leaders! We have several announcements for you.

First, there are a lot of events happening at the FSU Alumni Association Friday, Nov. 1!

The Seminole Club Seminar will be taking place in the Rendina Room from 1:30-3 p.m. Some topics which will be discussed during this workshop are Club financials, group exemption updates, D&O insurance coverage 101, upcoming events, and how to maximize your game watch venue.

The FSU Clubbie Awards will begin promptly from 3:30-5 p.m. in the Rendina Room. Here we will be honoring our top Seminole Clubs and Seminole Clubs leaders.

Once the ceremony has concluded, make sure to join the FSU Alumni Association for a Football Friday Open House at the Alumni Center from 5-7 p.m.

Lastly, we are happy to announce that the November 2 FSU vs. Miami game is scheduled for an 8 p.m. kickoff. While the tickets are officially sold out, we hope you cheer on the No. 2 Florida State Seminoles as they take on the No. 7 Miami Hurricanes!

Kickoff Parties–set your date!

Hi all. Several quick things to pass along:

1) Set the date for your kickoff party and notify us of the date ASAP by filling out a marketing request at this link: http://one.fsu.edu/community/page.aspx?pid=3356 . Your information must be in by June 28th to be included in our initial marketing efforts.

2) Phase 1 and Phase 2 clubs, remember that your end of year financials are due between July 1 and July 10. Reporting templates and information can be found here, under Reporting and Financial headers: http://one.fsu.edu/community/page.aspx?pid=3749

3) Many clubs did not transition officers in timely fashion this year. As you plan for next year, be sure to schedule your elections early enough to have your new board in place on June 1st, so they can take the reins on time on July 1st.

4) Save this date: FSU Alumni Association Kickoff Luncheon is August 23rd.

5) Save this date too: Seminole Boosters Plant the Spear party is August 28th.
